Renter Responsibility
As the renter, you are responsible for the vehicle from the moment you take possession until it is returned to us. This includes:
- Any damage that occurs during the rental period, regardless of fault
- Damage caused by theft, vandalism, or weather events
- Damage caused by any authorized driver listed on the agreement
- Loss of use costs while the vehicle is being repaired
- Administrative fees for damage processing
Pre-Rental Inspection
Document Everything
Before driving away, we conduct a thorough inspection with you. We strongly recommend:
- Take photos/videos of all sides of the vehicle
- Document any existing scratches, dents, or marks
- Check and photograph the interior condition
- Note any concerns on the rental agreement before signing
- Keep your photos until after your deposit is refunded
Types of Damage
Minor Damage
Examples: Small scratches, door dings, minor scuffs
Surface-level damage that doesn't affect vehicle operation
Moderate Damage
Examples: Dents, cracked mirrors, damaged trim
Visible damage requiring professional repair
Major Damage
Examples: Collision damage, broken windows, mechanical damage
Significant damage affecting appearance or operation
Interior Damage
Examples: Stains, burns, tears, odors (smoke/pet)
Damage to seats, carpet, headliner, or other interior surfaces
Damage Assessment Process
- Return Inspection: Upon return, we inspect the vehicle with you present whenever possible.
- Documentation: Any new damage is photographed and documented on the return form.
- Repair Estimate: We obtain professional repair estimates from licensed body shops.
- Insurance Claim: If you have coverage, we work with your insurance to process the claim.
- Final Charges: You're responsible for repair costs minus any insurance payout.
Security Deposit
A security deposit is collected at the start of each rental to cover potential damage. The deposit amount varies by vehicle type:
- • Standard vehicles: $250 - $500
- • 12-15 passenger vans: $500 - $750
- • Extended rentals may require additional deposit
Deposits are fully refunded within 5-7 business days after return if no damage is found and the vehicle passes inspection.
Damage Not Covered by Insurance
Even with insurance coverage, you may be responsible for damage resulting from:
- •Driving under the influence of alcohol or drugs
- •Unauthorized drivers operating the vehicle
- •Use outside permitted areas (e.g., off-road driving)
- •Violating the terms of the rental agreement
- •Intentional damage or gross negligence
- •Interior damage from smoking, pets, or excessive mess
How to Protect Yourself
Insurance Coverage
Ensure your personal auto insurance or credit card covers rental vehicles. Consider supplemental coverage for peace of mind.
Document Everything
Take thorough photos before and after your rental. Note any existing damage on your agreement.
Read the Agreement
Understand your responsibilities before signing. Ask questions about anything unclear.
Report Issues Immediately
If damage occurs during your rental, contact us right away. Delayed reporting may complicate claims.
